Everyone attending our event will be given respect when it comes to consent, boundaries, service animals, and personal space. Every attendee has the right to participate without fear of discrimination, intimidation, or harassment of any kind. Accountability and appropriate repercussions for this will be swift. Ages Allowed at the Event

This is an 18+ event, so no one under 18 will be admitted and there will be adult elements as this is a romance book conference. In the United States, the legal age to drink alcohol is 21 years of age. Please ensure you bring identification, as the bar staff are legally required to check IDs for alcohol consumption.

Are tickets refundable?

Tickets are non-refundable, but are transferable. There will be a resale thread in the event group. All transfer of tickets must be worked through FanGrrrl Romance Recs.

Is there Wi-Fi available at the Event?

Free Wi-fi is available for hotel guests only.
Fee for wireless Internet in public areas, as of July 2025 (can be subject to change prior to the event):

Is there a limit to the number of items I can bring for the author to sign?

Yes, there will be a 5 item limit allowed for signing (at one time).

In order to help with wait times and ensure the maximum number of attendees meet their favorite author, there will be a 5 item limit allowed for signing (at one time). If you have more than 5 items to be signed, you will need to go back through the line again and wait a second time to have the author sign the additional items.

Is there parking?

Yes, there is parking at the venue, however parking fees apply. Those staying in the event room block will have a 50% discounted rate for parking. Parking info for the venue can be found HERE!

Are carts allowed?

You may bring a rolling cart that is no bigger than 18” x 18” or a carry on suitcase, see example products from Amazon below! We also included some accessories that we recommend for signing boards, swag, trades, water bottle, pens, markers… you name it! You can click on the pics to take you directly to Amazon!

*For safety reasons, no wagons or strollers will be allowed in the signing room*

Wristbands/
Ticketed Author Lines

Authors with long lines will be utilizing a wristband system and will be known as a “Ticketed Author”.

Ticketed Authors will have a volunteer coordinator (who will be wearing a FanGrrrl Romance Recs Volunteer Shirt) that will hand out wristbands to attendees. Each author will have a different color wristband, and each wristband will have a number. Numbers to each line will be updated on an online document- which you can check on your phone wherever you are in the building- or you can ask a volunteer to look up the number if you’re having connectivity issues.

We will be utilizing a Ticketed Author wristband system so you don’t have to spend large amounts of time waiting in line; instead, you can visit more authors, as we only allow a limited number of attendees in a Ticketed Authors line at one time.

More info, such as which authors will be ticketed, will be released closer to the time of the event.

Seating Chart

The seating chart will be released publicly around 2 weeks prior to the event, along with which author we anticipate being a Ticketed Author.

Will you have security at the signing?

Yes. Security will be present at all signing hours, as well as during all FanGrrrl Romance Recs sponsored events.

Airport Transportation

You are responsible for your own transportation to the venue, as it will not be provided by FanGrrrl Romance Recs or Hilton Lake Buena Vista.

The venue is approx. 25 minutes from Orlando International Airport. The hotel does not have a free shuttle to and from the airport. Mears Transportation provides shuttle service to the hotel and leaves the airport about every 20-30 minutes. When you arrive at the airport, proceed to the baggage claim area to purchase your tickets, which currently cost $21.00 per adult and $17.00 per child one way or $34.00 per adult and $27.00 per child round trip.
