We are so excited to officially invite you as one of our Volunteers at the FanGrrrl Romance Recs Premier Book Signing Event, taking place at Hilton Orlando Lake Buena Vista – Disney Springs in beautiful Orlando, Florida on September 11 & 12, 2026! IMPORTANT INFORMATION REGARDING COMMITMENT
Please submit the form below within 1 week of receiving the official invitation email in order to secure your place at the FanGrrrl Romance Recs Premier Book Signing Event, taking place at Hilton Orlando Lake Buena Vista – Disney Springs in beautiful Orlando, Florida on September 11 & 12, 2026. If this timeline is not met (and we have not heard from you as to why,) the invitation expires as we are trying to fill our team of volunteers in a timely manner. Thank you in advance for understanding!
Upon submission of this commitment form, an email is automatically sent confirming its receipt (please check your spam folder.) FanGrrrl Romance Recs will then send an Non-disclosure Agreement (NDA) for you to sign and email back to us. Once the NDA is received, a separate email will be sent directly from events@fangrrrlromancerecs.com with all information submitted on this form and final confirmation of the commitment. This final confirmation email will include information regarding the Hilton room block at the venue.
Please note: the submission of this form along with NDA received constitutes commitment.
EVENT INFORMATION:
* Volunteers chosen will have access to all events on the schedule, as long as they are not scheduled for a shift, and if occupancy limits are not exceeded by attendees
* Volunteer days begin Thursday, September 10th through Sunday, September 13th (you do not have to be present for the entire timeframe)
* There will be a room block with discounted rate of $179 + Discounted Hotel Fees & Taxes a night, and other hotel perks. Hilton has agreed to honor this rate 3 days before, during the event, and 3 days after the event dates.
The hotel provides the following perks to anyone reserving a room within the group event room block and stays at the hotel as overnight guests:
– Guestroom high speed wireless internet access
– Shuttle transportation to/from the Disney World Theme Parks
– DVDNow Movie Rentals
– Two (2) 16 oz. Starbucks Coffees daily, redeemable at Mainstreet Market
– Two (2) 16.9 oz. bottled water (Nestle Pure Life) daily, redeemable at Mainstreet Market
– $5.00 discount on one attraction ticket sold at the concierge desk (coupons cannot be combined)
– 50% Discount on Self-Parking garage
– Venue is a Disney Resort with a pedestrian sky bridge to Disney Springs

REQUIREMENTS
– You must be over 18 years of age
– You must donate at least 50% of your time at the event to being a Volunteer (we will have sign-up sheets for specific shifts and will do our best to assign you to your preferred area)
– You must work 1 out of the 2 general admission book signing sessions
– You must attend all Staff Meetings during the event timeframe (currently planned as 1 hour per day)
– You must attend the initial onboarding Staff Meeting & Training on Thursday September 10th from 9AM EST to 12PM EST
– You must attend all pre-event Training (Zoom calls) and watch any pre-event Training videos created for you
– Previous Book Event experience is a plus, but not required. We will train you!
– You must wear the Volunteer T-Shirt while on duty; this T-Shirt will be given to you and an order form will be available listing various sizes from extra small to 3X.
– You must wear your identification badge at all times while you are working the event
– You must sign a standard Non-Disclosure Agreement (NDA) for the event, as you will be working behind the scenes and privy to both proprietary & confidential event information

OUR EXPECTATIONS IF CHOSEN:
Any Volunteer affiliated with FanGrrrl Romance Recs Premier Book Signings must encompass the FanGrrrl Brand… friendly, positive book enthusiasts who love to FanGrrrl over authors and books! We expect every Volunteer to be honest, ethical, reliable, courteous, patient, kind, and professional at all times. If at any time we feel you do not uphold these values, we may revoke your invitation or remove you from the event.

CANCELLATION POLICY:
If you need to cancel your volunteer attendance to the event or if you are unable to fulfill the volunteer duties outlined, please let us know immediately so that we can contact one of the volunteers on our waitlist. No refund is necessary, as no funds are exchanged. *You are responsible for your costs and expenses beyond access to the event space.*
All of the FanGrrrl Romance Recs events and engagements are governed by Florida law.
